Approving a withdrawal, payment or transfer

If your organisation requires approvals, a request cannot be processed until enough approvers have signed off. Approvers and admins can approve. Your admin sets how many approvals each type of transaction needs in Settings, then Approvals.

Where to find requests waiting on you

  • The Transfers item in the left navigation shows a badge with the number waiting.

  • On the Transfers page, the Approval needed section lists them with Approve and Decline buttons.

  • The tasks menu in the top bar lists them as Approve transfer with a Review button.

  • You get an email when a request is made, and a reminder at midday on business days while it is outstanding.

Approving

  1. Open the request. Check the amount, the source accounts and the destination. For a payment, check the payee's bank details.

  2. Click Approve. A dialog lists each step of the request. Click Approve withdrawal (or payment, transfer, rebalance).

  3. If more than one approval is required, the request stays in Pending Approval until the other approver has signed off.

Approve before the date shown on the request to avoid a delay. Requests made after 3:30pm Sydney time are processed the next business day even if approved straight away.

Declining

Click Decline, then Decline & cancel. The request is cancelled and shows as Rejected. The person who requested it is emailed. To change an amount or destination, decline it and ask them to request again.

Approving your own request

Whether you can approve a request you made depends on the Self-approval setting for that transaction type. If it is off, you will see "Organisation policy does not allow you to approve withdrawals you requested" and another approver has to do it.

Automations

When someone creates an automation such as an auto sweep or scheduled withdrawal, it needs approval once. You can choose Auto-approve transfers, which approves every transfer the automation creates in future, or Keep individual approvals, which sends each one to you. You can change this later from the automation's settings menu.
